FOREWORD
The purpose of this Guide1 is to give new postgraduate students information to facilitate their
settling in at Universiti Utara Malaysia. This Guide is not meant to be exhaustive; instead, it isdeveloped to facilitate your admission to the University.
This Guide is aimed very much at the new postgraduate students at the University as it containsstatements of rules and regulations pertaining to admission and registration at the University.For example, in this Guide, you will find information on important dates for certain activities theUniversity has planned for you before and during registration, terms and conditions ofenrolment, English language requirement, and medical examination.
Upon your arrival you may find life somewhat confusing while you find your feet. Dont be afraidto ask questions of anyone, it will speed your settling in at the University. The factual informationcontained herein is updated every year.

POSTGRADUATE STUDIES AT UNIVERSITI UTARA MALAYSIA
Postgraduate studies at Universiti Utara Malaysia (UUM) are based on the semester system.Semester I runs from September to January, and Semester II runs from February to August.
STRUCTURE OF POSTGRADUATE PROGRAMMES
There are three (3) modes of programme: by coursework, mixed mode and full research.
a) CourseworkStudents are required to attend lectures and tutorials for duration of twelve (12) tofourteen (14) weeks per semester. Students have to fulfil a set number of credit hoursbased on course requirements in order to be awarded a degree.
b) Coursework and Dissertation (mixed mode)
Students are required to complete the coursework credit requirements and to sit forexaminations. Students are also required to submit a written dissertation forexamination.
c) ResearchStudents pursuing research degrees have to complete a research under the supervisionof a principal supervisor appointed by the respective Graduate School. At the end of theprogramme, students are required to submit a written thesis for examination. Studentsmay be required to pursue pre-requisite courses before proceeding with their research.These courses are determined by the respective Graduate Schools.

TERMS AND CONDITIONS OF ENROLMENT
REGISTRATION AND ORIENTATION
The University has scheduled time line of registration activities for new postgraduate students.Please take note of the registration schedule according to your mode of studies, as stated inyour offer package.
For Coursework/ Mixed ModeStudents
Candidates are to register at thespecified date and venue as statedin the letter of offer.
If the University does not receiveany response from the candidateswithin fourteen (14) days after theregistration date, the Universitywill assume that they are nolonger interested in theprogramme and the offer will beautomatically invalid
For Research Mode Students
Candidates are to register at the specified dateand venue as stated in the letter of offer.
If the University does not receive any responsefrom the candidates within fourteen (14) daysafter the registration date, the University will
assume that they are no longer interested in theprogramme and the offer will be automaticallyinvalid.
However, candidates may be allowed to registerlate, in which the date will be determined by theGraduate School:a) Semester I - early of October,
November and Decemberb) Semester II - early of March, April, May
and June
Candidates who apply for late registration mustfulfil the English Language requirements or
they will be advised to defer their studies untilthe following semester intake.
Full amount of fees will be charged tocandidates for late registration in the relevantsemester.

DEFERMENT OF REGISTRATION
Candidates who have been accepted into a programme of study but have not yet registered canopt to defer their registration by applying in writing to the Dean of Graduate School. The periodof deferment cannot exceed one (1) semester. Candidates are advised to make a freshapplication if they are still interested to join the University, after the accepted period.
REGISTERED CANDIDATES
Candidates who have registered as UUM students will be deemed as active student.Students with active status can use the facilities provided by the University.
UUM students should:i) Abide by the rules of:
a. Malaysian Law;b. Universities and University Colleges Act (AUKU), Statute of the University, and
Rules and Regulations of the University;
c. The decision from the University Board of Directors, University Senate, andColleges;
ii) Uphold the image of the University;iii) Respect the Universitys officers and lecturers; abide by the Rules of Malaysian and
University Traffic Laws;iv) Get involved in any academic, cultural, sporting, social work and other university
activities;v) Settle all the necessary fees charged by the University;vi) Abide by the Rules of University Student Discipline and Dress Codes.

STUDENT PASS FOR INTERNATIONAL STUDENTS
A. Visa With Reference (VWR)
1. Please take note that all new international students who want to pursue their studies inMalaysia are required to obtain a Visa With Reference (VWR) letter before entering
Malaysia. The VWR will be issued by the Malaysian Immigration Department Headquarters inKuala Lumpur to all prospective students. In order to obtain this VWR, upon the receiving ofthe Offer Letter, you are required to submit the following documents via email [email protected] (AHSGS):
i. Two (2) copies of the Offer Letter;
ii. Four (4) most recent passport-sized photographs (blue background only)
measuring exactly 3.5 cm by 5 cm.
iii. Two (2) sets of the printed pages of the passport which should be copied only on
one side of the A4 - sized paper (the copied pages must be certified by the
nearest Malaysian Embassy).
iv. One (1) copy of the information of the address of the nearest Malaysian Embassy
in your own country for the forwarding of a copy of the VWR letter (the required
address should be printed on an A4-sized paper).
2. The Centre for International Affairs and Cooperation (CIAC), UUM will e-mail to you theVWR letter upon receiving it from the Malaysian Immigration Department. With the VWRletter, you are entitled to a Single Entry Visa on your passport to be obtained from thenearest Malaysian Embassy/Consulate in your country. Please bring along your Offer Letter,the VWR letter and your passport when applying for your Single Entry Visa.
3. Students who enter Malaysia using the Single Entry Visa (Social Visit) are not allowed to
change the status from Social Visa to Student Pass. Only the student who has the VWR
approval letter is allowed to apply for a Student Pass.
4. The student, who has gained the approval of the VWR but is not able to register in thestipulated semester, has to re-apply for a new VWR as the approved VWR is valid for 1 to 3months only.
5. Please be informed that if you do not have a VWR letter, you will not be allowed toenter Malaysia. For a full guide, please visit our website athttp://ciac.uum.edu.myor contactour staff at CIAC over the phone +604-9283412/3413/3407 for further advice if necessary.
B. Information Related To Student Pass
1. International students must hold a valid student pass for the entire duration of their stay inMalaysia.

2. Students are responsible to make sure that any kind of Immigration Pass (social visit pass/special pass/ student pass/ dependent pass) is valid. Students are required to follow thestipulated Rules and Regulations.
3. All charges related to the student pass/visa, social pass, special pass or fines in the eventthat students overstay in Malaysia are to be borne by international students. Charge so
incurred is payable in cash to the Visa Unit, Centre for International Affairs andCooperation (CIAC), which in turn, will make payment to the Malaysian ImmigrationDepartment.
4. In the event that students need to renew their student pass/visa, they are required to do so atleast one (1) month before it expires. Otherwise, they have to pay an additional RM 100.00toobtain a special pass.
COURSE REGISTRATION
Students must formally register for the selected courses within the first two (2) weeksof the
commencement of every semester. Registration of courses can only be done online via UUMportal once the students status is activated.
Students are advised to print their course registration slip as reference.
Students who do not formally register for their courses will not be allowed to attend classes andto sit for examination.
CLASS ATTENDANCE
Attendance in class is compulsory. Students who have less than 80% of total attendance of
lectures or tutorial sessions for any courses will be barred from taking the final examination.

AWARD OF DEGREE
Students must fulfil the following requirements to be awarded the degree:
i. follow and pass the examination for all subjects as determined by the programme of studyand obtain a CGPA of at least 3.00;
ii. sit for any other examination as may be determined by the programme of study;iii. fulfil all requirements of the Universities and University College Act and other related acts;iv. settle all debts and dues owed to the University;v. for students pursuing a programme of study by research, they must present, defend and
submit the thesis successfully.vi. Ph.D. candidates must produce at least two (2) articles, in which they are required to choose
either Option A or Option B:
Option A1. at least one (1) article is accepted for publication in ISI Journal or Scopus; and2. at least one (1) article is under review for publication in a refereed journal.
Option BTwo (2) articles are published in a refereed journal.
TERMINATION OF STUDY
Students who have obtained an unsatisfactory academic report or have violated the Universitiesand University Colleges Act and other related acts will be terminated from the University.

PRE-REGISTRATION
DOCUMENTATION
1. Send the reply form to your respective Graduate School as a notice of acceptance.
2. Complete all forms attached in this Guide.
3. Settle all payments before registration.
4. Prepare four (4) recent coloured photographs, which must be fixed onto the relatedforms/documents given.
5. Ensure that all information and documents are complete (i.e. ORIGINAL certificates ofdiploma/degree, MUET/IELTS/TOEFL, full academic transcript, letter ofscholarship/study loan, offer letter and letter of approval/official leave fromemployer, and letter of employment [if any]).
ENTRY REQUIREMENTS TO MALAYSIA (FOR INTERNATIONAL STUDENTS)
To enter Malaysia, a visitor should possess the following documents:
Passport or Travel DocumentAnyone entering Malaysia must possess a valid national Passport or internationallyrecognized Travel Document valid for travel to Malaysia. The document shall be valid formore than six months from the date of entry to Malaysia.
Fulfil visa requirementForeign nationals who require a Visa to enter Malaysia must apply and obtain a Visa inadvance at the Malaysian Representative Office before entering the country. The grantof a Visa is not an absolute guarantee that the holder will be allowed to enter Malaysia.The final decision depends on the Malaysian Immigration Officer at the point of entry.
PassForeign nationals have to obtain a pass at the point of entry besides a Visa (whererequired) which allows them to stay temporarily, in Malaysia. A pass is an endorsementin the passport constituting permission to stay for the approved duration.

MEDICAL EXAMINATION (MANDATORY)
Local Candidates
Local candidates studying at UUM Sintok campus are required to undergo a medicalexamination conducted by the University Health Centre (recommended) or Government
Hospitals or Private Medical Centres before they are allowed to register as a UUM student.
The report then has to be submitted to the University Health Centre, UUM.
International Candidates
The Ministry of Higher Education Malaysia require that, starting from 1July 2008, allinternational students must undergo a medical check-up and subscribe to a health insuranceplan before they are allowed to register in any higher education institution in Malaysia. Startingfrom Second semester 2008/2009 session, UUM has stipulated that candidates who fail toundergo a medical examination and purchase health insurance will not be allowed to register.
The following outlines the types of illnesses/diseases specified by the Ministry and theimplications to study at this University.

Conditions to Undergo Medical Examination
1. It is compulsory for local and international candidates to use the Health Examination Reportattached to this Guide.
2. University only accepts medical examination done within three (3) months beforeregistration.
3. University has the right to ask candidates to go through the medical check-up or any specificlaboratory test again should there be any doubt in the medical report submitted.
4. All costs involved for the examination and report (first time or repeated examination) shall beborne by the candidates.

Unsponsored students must produce the latest bank account statement upon registration.

ACTIVATE UUM E-MAIL ACCOUNT
UUM e-mail is a service used to send and receive messages quickly and securely through
electronic or computer channel. It is provided to all UUM students.
Students will be updated with the latest news and information regarding postgraduate studiesthrough UUM e-mail. As such, it is compulsoryfor all students to activate and use their e-mailfrequently.
Please refer to page 36 for manual on How to Activate UUM E-mail Account.
UPDATE STUDENTS PERSONAL INFORMATION
Students are advised to check and update their personal particular i.e. mailing address,
telephone number etc. through UUM Portal (http://umis.uum.edu.my) or contact the GraduateSchool to do so.
COURSE REGISTRATION
Students pursuing a programme of study by coursework must formally register for the selectedcourses within the first two (2) weeksof the commencement of every semester. Registrationof courses can only be done online via UUM portal once the students status is activated.
Students who do not formally register for their courses will not be allowed to attend classes andto sit for examination.
PAYMENT OF FEES
New postgraduate students must settle their fees as stated in the letter of offer beforeregistration. Any additional fee such as tuition fee for extra credits must be paid within the add-and-drop period.
The University reserves the right to automatically deactivate a students statusand drop allregistered courses if students fail to pay the full amount of fees within the stipulated timeperiod.

GETTING STUDENT PASS/VISA FOR INTERNATIONAL STUDENTS
All international students are required to apply for a Student Pass to study in UUM. The Centrefor International Affairs and Cooperation (CIAC) will assist in applying Student Pass once theyare registered as UUM students. International students are required to submit the followingdocuments to CIAC:
1. Original Passport;2. A copy of VWR Approval Letter;3. Two (2) copies of Student Confirmation Letterfrom the Graduate School to be signed
by Dean/ Deputy Dean/ Head of Department;4. A copy of Health Insurance subscription receipt from the Insurance Company
appointed by UUM (KSDC);5. Two (2) copies of Medical Report (UUM form) certified by the University Health Centre;6. A copy of official receiptfor tuition fees and the Personal Bond payment.7. Payment in cash for:
a. Student PassRM60.00 per year or part thereof;b. A visa fee the amount varies depending on the country of origin, but does not
exceed RM100.00 per year; and
c. Processing fees of RM60.00

POSTGRADUATE STUDENTS FEES
Students are categorized based on nationality as Malaysian, ASEAN, and Non-ASEAN and will
be charged accordingly. Upon being accepted by the University, students shall makearrangements for financial support and payment of Student Fee throughout their study. TheStudent Fee consists of registration, tuition, accommodation and services. Note: The Universitydeserves the right to revise the student fee from time to time without prior notice to students.
Students are responsible to ensure that all fees are settled before registration. Receipt ofpayment must be produced upon registration as proof.
Sponsored student must submit Sponsorship Letter upon registration. The letter must clearlystate the type of fees covered (such as registration, tuition, accommodation and services).Payment for campus accommodation may be arranged separately.
Students admitted under coursework programme will be charged a tuition fees of 9 credit hours(full-time student) and 3 credit hours (part-time students), as indicated in the letter of offer.Students have to pay additional fee if they wish to register for more credit hours. All fees mustbe paid within the add-and-drop period.

ENGLISH LANGUAGE REQUIREMENT
All International candidates should meet any one of the following English Language
requirements set by the University before they are accepted for admission.

International students who do not meet any of the above English Language requirements, mustsit for and pass the English Language Placement Test (ELPT), which will be conducted bythe UUM Language Centre.
ELPT is administered to gauge the English language proficiency of international students beforethey are allowed to sit for postgraduate courses in their programme. ELPT consists of fourcomponents: reading comprehension, grammar, listening, writing, and speaking. The test takesapproximately three hours and must be completed on the same day.
International students who perform poorly in ELPT are required to attend and pass the IntensiveEnglish Language Course (see below) for at least one semester before they are allowed toproceed with their postgraduate degree programmes.

ENGLISH LANGUAGE PLACEMENT TEST (ELPT)
The English Language Placement Test (ELPT) is a test designed to assess the Englishlanguage proficiency of international students. ELPT is compulsory for international students ofCollege of Arts and Sciences and College of Law, Government and International Studies, who
do not meet the English language requirement set by the university.
Rules and regulations:
1. All international students who do not meet the above English Language proficiencyrequirements must sit for the ELPT which will be administered twice in each intake: oneweek before and one week after the semester begins. Students who do not take the teston either of the specified dates will be terminated from their study immediately.
2. Students who arrive/plan to arrive after the date of the ELPT will not be allowed toregister as students. Registration can only be done in the subsequent semester.
3. Students who do not sit for ELPT will not be allowed to register for the Intensive EnglishLanguage Course.
4. International students must show the following documents before they are allowed to sitfor the ELPT:
ii. proof of registration by showing the original letter of offer which is stampedREGISTERED by the respective Graduate School; and
iii. international passport or smart cardas identification.
International students who fail the ELPT:
1. Must sit for the Intensive English Language Course immediately after the ELPT resulthas been announced to the students.
2. Will not be allowed to register for other courses or continue with the programme at theirrespective Graduate Schools.
NOTE: Failing to abide by this rule will result in termination of studies.
A pass grade in the ELPT and Intensive English Language Course for International Students isa requirement for graduation.

The ELPT is exempted for the following students:
1. Students who graduated from UUMand want to pursue their studies in UUM;2. Students who were terminated from UUM but later reapply to pursue their postgraduate
studies in UUM, and already have obtained either a passing grade in the ELPT or theIntensive English Language Course for International Students. The result is valid
for two (2) years;3. Students who are pursuing their postgraduate studies by research (Masters or Ph.D.)
and are writing their thesis in the Malay language. However, for these students, theyare required to declare that they are writing their thesis in the Malay language by filling inthe declaration form;

INTENSIVE ENGLISH LANGUAGE COURSE FOR INTERNATIONAL STUDENTS
The Intensive English Language Course for International Students is a course designedespecially for international students who have not demonstrated an acceptable level of English
proficiency upon entrance into the University. This course is compulsory for the followingstudents:
1. those who have failed the English Language Placement Test (ELPT);2. those who have failed the ELPT but later produce their acceptable IELTS/TOEFL score
that has been obtained after the date of ELPT.
Students who pursue a programme by full research but who are required to attend the IntensiveEnglish Language Course (because they have failed the ELPT) will be allowed to continue withtheir programme as usual. They can, for example, meet their supervisor(s) for consultation.
Students are allowed to take the Intensive English Language Course for a maximum period of
two semesters only. They will be terminated from the university if they fail the course for twoconsecutive semesters.
Note: Intensive English Language Course for International Students does not apply tointernational students of OYA Graduate School of Business/ UUM COB.

TAMAN SISWA (INTERNATIONAL STUDENT RESIDENCE)
Taman Siswa is located at Jitra, Kedah, which is between UUM Sintok (30 km) and Alor SetarCity (20 km). It is surrounded by shop lots, laundry, shopping mall, mini marts, restaurants, fastfood outlets, bus station, hospital/clinics, kindergartens/schools, mosque, and located withinhigher education hub of Kedah (Polimas, IAB and IPDA).
Taman Siswa offers comfortable accommodation for international students. All rooms/housesare fully furnished and equipped with air conditioning units, TV, and refrigerator. Taman Siswa isequipped with wireless internet service, multipurpose hall and recreational huts.
Transportation services that shuttle students from Taman Siswa to UUM Sintok run four times aday.
