1 INTRODUCTION

1.1 Brief description

The Sistem Pengurusan Aset Kadaster (SPAK) implementation serves the purpose of managing JUPEM’s properties such as registration, lending of the equipments, complaints about the equipments, equipment’s calibration and status report of all equipments. This user manual is intended for end user to view data about the equipments inside SPAK.

2 LEARNING THE BASIC

2.1 Starting and quitting Sistem Pengurusan Aset Kadaster (SPAK)

This section shows how to access the Sistem Pengurusan Aset Kadaster (SPAK), log on

and quit SPAK.

Users can either go to respective Jupem states’ webpage, or to Jupem2u webpage, and

click on the SPAK link. Users will be brought to the login page below.

3 LEARNING THE MENU BAR AND PAGE DISPLAY

3.1 MENU UTAMA

Below is an example of a successful login screenshot. On Menu Utama, the Information & Notification SPAK page will be displayed. On this page the system displays the main items to bring to the logged in users’ attention, which are the Aduan notifications, as well as other notifications such as Penempatan yang ditarik balik, Aset yang masih belum dipulangkan, Tempoh pinjaman hampir tamat and others.

3.2 MENU AKTIVITI

On the Menu Aktiviti tab, there are 6 activities for users to choose from:

1) Pendaftaran

2) Penempatan

3) Peminjaman

4) Penyelenggaraan

5) Pelupusan

6) Laporan

3.3 PENDAFTARAN

Under PENDAFTARAN, there are 2 types of functions:

1. Daftar Harta Modal

2. Carian Daftar Aset

3.3.1 Daftar Harta Modal

This function is used to register new assets. Registration for new assets is only applicable to HQ Storekeeper (for ICT Equipment) and JUD Storekeeper (for Non ICT Equipment).

Fields with asterisks symbols (*) are mandatory to be filled up before user can

proceed to click on the button for registration of new assets.

After clicking on button, a window popup will prompt the message “Kod Siri Aset Berjaya Didaftar. Terus ke Kemaskini Pendaftaran?” to proceed registering the

equipment into the database. Click on button to proceed.

Under Kemaskini Pendaftaran sub menu, please select Maklumat Pemilikan tab to update tarikh perolehan/diterima, tarikh jaminan bermula and tempoh jaminan. Then

click button .

User is able to add information on equipment in Maklumat Komponen/Aksesori and Maklumat Sokongan respectively. Also, picture of equipment can be uploaded in tab Gambar.

After details successfully saved, a window popup will appear prompting user to go to

Penempatan, click . And click button . It will bring user to the Penempatan Aset page.

3.3.2 Carian Daftar Aset

1. From the Pendaftaran tab, click on Carian Daftar Aset.

2. The Carian Aset page will be displayed.

3. User to select or input at least the Jenis Aset, then click on Cari Aset to find the registered equipment. If User wants to specify the equipment searched, User can input the Kod Siri, select the Kategori, Sub Kategori, Status Aset, Jenis Penempatan and/or Lokasi/Individu Penempatan after selecting the Jenis Aset.

4. This Carian Aset is controlled by log in user’s location – where by for instance, storekeeper HQ can only view HQ ‘s assets, and storekeeper PUD can only view PUD’s assets.

5. The Hasil Carian Aset information will be displayed as below.

3.4 PENEMPATAN

This submodule is for the purpose of assigning an asset to a personnel or location.

3.4.1 Rekod Penempatan

From the Penempatan tab, click on Rekod Penempatan.

The Carian Aset bagi Penempatan page will be displayed as follow.

Under Maklumat Aset, user to select at least the Jenis Aset to find the location of equipment. When User has selected the Jenis Aset, User can also input the Kod Siri, select the Kategori and Sub Kategori (as shown below) to specify the equipment searched. Then, click on Cari Aset.

A list of assets found under matching criteria will be displayed as follow.

3.5 PEMINJAMAN

This submodule is for the purpose of loaning assets that are available in the store (asset status ADS only can be displayed and loaned).

3.5.1 Rekod Peminjaman

1. Under Peminjaman tab, user can click on Rekod Peminjaman.

The Carian Aset bagi Peminjaman page will be displayed as above.

2. Under Maklumat Aset, User to select at least the Jenis Aset to find information on lending of the equipment. When User has selected the Jenis Aset, User can also input the Kod Siri, select the Kategori and Sub Kategori (as shown above) to specify the equipment searched. Then, click on Cari Aset.

3. Then click on button and Maklumat Peminjaman Aset will be displayed as follow.

4. After filling up all the details of Maklumat Peminjaman Aset, click on button

. For successful registration, message as below will be displayed.

3.6 PENYELENGGARAAN

This submodule is for the purpose of managing assets’ maintenance and repair records and activites.

3.6.1 Rekod Aduan Kerosakan

From the Menu Penyelenggaraan tab, click on Rekod Aduan Kerosakan.

The Carian Aset bagi Aduan page will be displayed.

1. Fill in or select any of the information, or none at all, then click on Cari Aset to

search for the reported equipment.

2. The Hasil Carian Aset information will be displayed as follow.

3.6.2 Rekod Penyelenggaraan

1. From the Penyelenggaraan tab, click on Rekod Penyelenggaraan.

2. Fill in or select any of the information, or none at all, then click on Cari Aset

to search for equipment for maintenance.

3. The Hasil Carian Aset information will be displayed as above.

4. Click and User will go to the Maklumat Penyelenggaraan Aset page as follow.

3.7 PELUPUSAN

This submodule is for the purpose of keeping records of assets that have been disposed.

3.7.1 Rekod Pelupusan

Rekod Pelupusan is the module in SPAK to display all the records for assets disposal. This module can be accessed from the Pelupusan tab, which then User will need to click on Rekod Pelupusan. User then will be directed to the following page.

Under Maklumat Aset, User to select at least the Jenis Aset to find information on equipment for disposal. When User has selected the Jenis Aset, User can also input the Kod, select the Kategori and Sub Kategori (as shown below) to specify the equipment

searched. Then, click on the button .

User will be directed to the following page, which will display the assets searched. Click

on button to view the details of the assets searched.

1. User will be directed to the following page. There are three methods of disposing an asset: i. Pelupusan ii. Hapus Kira

i. Pelupusan For the disposing an asset through Pelupusan, user needs to check the Pelupusan and fill in the required details as the following GUI screenshot.

User need to click on button after completing the form.

ii. Hapus Kira For disposing an asset through Hapus Kira method, user needs to check the Hapus Kira and completes the required details as needed in the

following GUI screenshot. User then need to click on button to submit.

On each of the methods for asset disposal selected, user will have an option to print the

details of the asset by clicking the button under button

on the same page.

A new popup window will appear and display the selected information before the user

print. User needs to click button to proceed with printing.

Another pop up window will appear as below to select the available printer for printing. Select the printer and click the Print button. Display of screenshot below depends on types of Windows.

3.8 KALIBRASI

Kalibrasi function can only be accessed by Pengukur. After logged in, User will come to a page shown as below.

Kalibrasi has 6 sub menus for end-user as follows:

3.8.1 Fail Medmas

1. Click Fail Medmas to search for eMEDMAS files.

2. Select from Negeri dropdown list to find files based on states.

3. Users will have 3 options to choose from; Papar, Download .MED/GNSS and Download Sijil. Based on state selected, User is also able to sort the information given by clicking on the title of each column.

4. When click on Papar or Download Sijil, User is able to view, download, save or print the file selected. Example of certificate is shown below.

5. User can click on Download .MED/GNSS to view the medmas info as per shown in the following screen.

6. To download any files, a popup message as below will appear for User to select to open or save the file selected.

3.8.2 KALIBRASI BARU - MANUAL

1. From Kalibrasi tab, click on Kalibrasi Baru - Manual.

2. The Rekod Kalibrasi - Manual page will be displayed.

3. Click on No. Siri MyAset dropdown list to select which particular asset that is being used for Calibration.

4. Click [Arrow] button and Test Location will appear as follow:

5. You may choose other state location by changing the selection in Negeri drop

down list.

6. Click to pickup any desired location.

7. Proceed with Tarikh Ujian selection, suhu and click

8. Select Nombor Tiang Dari and Tiang Ke

9. Key in Jarak Mendatar. Then click . Click to cancel entry.

10. Continue for each combination of Pillar and minimum requirement is 4 number of

pillar combination.

11. C value is being calculated automatically and if <0.01m you may proceed by

clicking to Apply approval from District Surveyor.

12. If User wants to cancel the Rekod Kalibrasi, click

3.8.3 KALIBRASI BARU - DATA BERDIGIT

1. From Kalibrasi tab, click on Kalibrasi Baru - Data Berdigit.

The Rekod Kalibrasi - Data Berdigit page will be displayed.

Browse and select File. Click Proses Rekod Kalibrasi.

Click to save and apply for approval.

3.8.4 CARIAN KALIBRASI

1. From Kalibrasi tab, click on Carian Kalibrasi.

2. The Carian Rekod Kalibrasi page will be displayed.

3. The defaulted Pengukur will be from JUPEM, and defaulted Nama will be the logged-in User. User can choose the No. Siri Alat from the dropdown list.

4. If click on , record will be reset as null. Proceed with Tarikh Ujian

selection, from when till when and click . Senarai Rekod Kalibrasi will appear.

3.8.5 LAPORAN RINGKASAN KALIBRASI MENGIKUT ASET

1. From Kalibrasi tab, click on Laporan Ringkasan Kalibrasi Mengikut Aset.

2. The page below will be displayed.

3. Choose No. Siri Alat from dropdown list, then click . Laporan Ringkasan Kalibrasi will be displayed. User then will have the option to print out the report.

3.8.6 LAPORAN RINGKASAN KALIBRASI MENGIKUT SYARIKAT

1. From Kalibrasi tab, click on Laporan Ringkasan Kalibrasi Mengikut Syarikat.

2. The page will be displayed as follow.

3. User to select the Pengukur type from dropdown list as above. When click on

, Laporan Ringkasan Kalibrasi as follow will be displayed. User will have the option to print out the report.

3.9 LAPORAN

Laporan has 5 sub menus as follows.

specify the equipment searched. Then, click on button to view the Daftar Penyelenggaraan Harta Modal as follow.

3.9.5 LAPORAN PELUPUSAN DAN HAPUS KIRA

Under Maklumat Pelupusan Hapus Kira Aset, select any of the information, or none

at all, then click on button to view the Laporan Daftar Pelupusan / Hapus Kira Aset Kerajaan as below.
