ABSTRACT

This report discusses about industrial training from the perspective of students who have undergone 20 weeks of

industrial training This company are refer as Oil and Gas company as it manufacture Umbilical and Flexible pipes

and the clients are involving Petronas and Shell which is well known company in Malaysia In this report also will

describe about company background in detail project management quality of raw materials company systems daily

activities and problem encountered Daily activity such as processing attendance using Autotime system if needed by

management or employee itself and update employee leave in e-leave system Problems that exist during internship

such as access card problem scanner problem e-leave system problem are more likely tend to help me to be more

prepared in term of idea to enhance the existing system for a better use in future

Asiaflex Products Sdn Bhd is located in Tanjung Langsat Industrial Complex It was designed to cater the Asia Pacifix

and Middle East markets and also to serve an extensive and diverse scope of national or international clients Main

products of Asiaflex company are to manufacture flexible pipes and umbilicals The products manufactured by

Asiaflex Products use the same qualified raw materials and manufacturing process developed by TechnipFMC The

20 hectare site has been developed as one stop hub where the manufacturing of flexibles pipes and umbilicals the

mobilization of transporation and installation vessels and the fabrication of auxiliary equipment are fully integrated

One of the most important thing about Asiaflex Products Sdn Bhd are the ideal location that allows it to considerably

reduce the delivery lead time for flexible piepes and umbilicals required for the development of subsea fields in Asia

In term of product quality This company provide same high standard of products is ensured through

established and well controlled practices and technical support from TechnipFMC flexible pipe RampD centre (based in

France) and from DUCO Ltd (based in the UK) Project management and engineering services associated with the

supply of flexible pipe and umbilicals are provided by TechnipFMC regional head office in Kuala Lumpur At the

same time Asiaflex Products also development a network local subcontractors and partnership with key international

suppliers Industrial equipment that provided by Asiaflex Products are the highest quality in the last 40 years The best

achievement of Asiaflex Products are many projects were delivered throughout Asia Pacific and beyond (Australia

Brazil Brunei China India Indonesia Malaysia Thailand USA Vietnam West Afrifa) At the same time a wide

range of clients which including Chevron CNOOC ConocoPhilips ENI Murphy Petrofas Petronas and also Shell

I have done doing my industrial training at Asiaflex Products Sdn Bhd that began from 1 July 2017 Until 29 December

2017 During undergo intership I have been trained to understand how each system work and how to configure or

manage the system every day I have learned how to input data for new employee into the Autotime system which act

as database system for the company At the same time I also been introduced with many more system such as Entry

Pass system FingerTech system and also IBSS system All of these systems are need to be fully understand in order

for me to find an error that exist in the system and also do enhancement for existing system

c MINI PROJECT

Firstly there are many projects were given during industrial training in Asiaflex Producuts company depend

on which department that been attached Being attached in the Human Resource and Communication department make

me vulnerable to the attendance e-leave access card and also database system To be more specific I was part of the

HRIS (Human Resource Integrated System) group and responsible to every employee aspect such as leave door

access attendance and also details information Most of the projects are to solve the problem based on error occurred

or do enhancement for existing system First mini projects given are regarding error in scanner attendance Data that

been displayed in scanner are not accurate when new employee scan their access card These error occur due to system

held data that not updated This project involving two department which is Human Resource and Communication and

Information Technology department Each department will contribute one person to working together to solve the

problem This type of error involving two types of system which is FingerTec and Autotime system

Besides the second mini project given are regarding error in Canteen scanner which new employee cannot

scan their meal allowance that provided by the company Meal allowance are provided by the company for each

employee that allowing them to eat and drink in the canteen using their access card and no cash are needed to undergo

transactions in canteen This error makes employee need to long queue in order to buy some food and drink due to

canteen worker need to keep track their transactions manually This type of error involving two type of system which

is POS system (Point of sale) and also Autotime system

d BIG PROJECT

In Addition the last project given are about enhancement of Entry Pass system This enhancement are needed

to be done due to the existing system are quite complex and take a longer time to be process or execute This project

are one the biggest project that included in the budget of company in 2017 just to ensure this project are successful

First and second project needed my own understanding regarding how each system work and synchronization between

two system that cause an error in scanner for canteen scanner and attendance scanner My responsibility for this two

projects are to find an anomaly data that held on each system that cause error in scanner while my responsibility for

last assignment are to make sure data that being enter in Autotime system are accurate can be captured in Entry Pass

system At the same time I need to test the system after the synchronization are successful between this two systems

and list the problems that exist

21 MINI PROJECT 1

At first mini project regarding error in attendance scanner was the first project that were given and needed to be

solved as soon as possible This type of error occurred because of new employee forced to use old or previous worker

access card due to no stock for new access card are not available yet Therefore previous data inside the access card

for previous employee are still in the access card The first solution suggested by Information Technology Department

are to disable all data from previous employee that use the access card in order to put new data for new employee in

the access card However this type of solution are not successful erase all information from previous worker in the

access as the system still detect data from previous employee such as their name and their employee ID in attendance

reader Possibility this type of error occurred because data in Autotime system and FingerTec system are not fully

updated or not been fully disable for former employee

This mini project need can be considered as one of the most important project to the company as it affected

all new employee that use former employee access card Information Technology department with Human resource

and Communication collaborate to find a solid solution to this problem This collaboration are needed in order to

reduce time of finding the source of error and can easily exchange ideas to generate an ideal solution

a AUTOTIME IFLEXI AUTOTIME SYSTEM

Autotime system act as database system for the company as it held all information about the employee such

as full name address phone no employee ID date of birth status and etc The real name for Autotime system known

as iFlexi Autotime system or iFlexi Human Resource System are built on MicrosoftNet technology and with powerful

Microsoft SQL server which are the latest technology that are powerful and configurable time management software

for daily business iFlexi Autotime system consist many feature that can reduce time spent in calculating employee

work hour and the most important thing are it consists comprehensive professional management report such as

clocking time listing daily attendance (sorted by department) In this case Autotime system will provide data such as

employee ID that will captured by attendance reader in order to keep track employee attendance every day

b FINGERTEC TCMS SYSTEM

The FingerTec TCMS system are the powerful management tool designed exclusively for FingerTecrsquos

fingerprint facial and card system terminals However Asiaflex Products Sdn Bhd only use the card system

terminals only At the same time FingerTech TCMS are centralizes store and manages all the time

attendance information extracted from connected FingerTech Terminals to create an easily-management

which simplifying human resources task and most important thing are reducing labor cost of an organization

Additional features that involved in this system are it will allow users to automate time attendance tracking

and able to handling large employee bases as it able to connect maximum of 200 FingerTec terminal over an

IP networks Picture 20 show the overview of this system and how it work generally

22 MINI PROJECT 2

Mini project 2 are given regarding error scanner in canteen readers The new employee are the most affected toward

this problem as they use the existing access card from former employee Honestly this problem are linked to the

previous problem which as mini project 1 as all system are synchronize to each other This mini project required

additional understanding to new system which known as POS system (Point of service) POS system main function

are to stored some of employee information such as Card ID and also Employee ID and value of meal allowance that

allocate by the company for each employee This error causes employee unable to scan their access card in canteen

reader as the system will detect their access card as lsquounknownrsquo or lsquounregisteredrsquo employee This error can been

received by existing employee that changed their access card to new one due to missing or their access card are broken

Possibility source of error come from two main system that control each access card which Autotime system

and also POS system POS system are specifically for meal allowance and prices for each item that been sell by

canteen These two system actually are synchronize to each other and may need details studies about all aspect in this

system to find the source of error toward this projects POS system are manage by Information Technology

department Therefore I only been trained on a few function that exist in the system in order for me to understand and

suggest where the source of problem came

23 BIG PROJECT

This project known as Entry Pass Fire Drill report amp VMS enhancement The biggest project that held by company

in 2017 which required a lot of party involvement in this project A project leader who is the senior software engineer

from Information Technology department will be collaborate with senior human resource executive myself and also

vendor to ensure this project will be successful according to the plan This enhancement required a month of studies

toward the system in order to gain information which aspects should be upgrade The agenda for this enhancement

can be divided into two which is

1) Visitor amp contract staff attendance to be included in Fire Drill report

2) Visitor Management System (VMS) enhancement for register information of Visitor Pass (PVP)

My scope for this project only focusing on Entry Pass system Entry Pass system are responsible to manage

all controller access For example it will control turnstile barrier manager barrier and post guard barrier

Turnstile barrier also act as backup attendance for each employee when attendance readers for each

department not working It held records for each employee such as time in and also time out All employee need to

pass the turnstile barrier first before they need to scan at attendance readers Manager barrier will held record in and

out for all managers as their backup attendance if attendance readers not working All contractor or visitor need to

scan their attendance on post guard barrier

Main ideas for this type of enhancement are to avoid entering the same information for contractor or visitor

during in entry pass system This enhancement can reduce time during registration of each contractor or visitor in

security This features are the most important that needed to be implement in enhancement of entry pass system Below

30 PROPOSED SOLUTION

As every project required solid solution in order to encountered problem that exist try and error method has been used

to ensure that the problem was solved completely

31 PROPOSED SOLUTION MINI PROJECT 1

Error regarding attendance scanner occur due to system detect the former employee unique value This is happen when

the former employee resign or their contract end the management forget to disable their account or unique value in

the Autotime system Even after disabling their unique value in Autotime system the error still exist due to unique

value for former employee this exist or available in other system such as FingerTec These two system are synchronize

to each other which mean if some changes needs to be made regarding employee data it need to be done for both

system I been tested this error for almost three weeks and found that if I change or disable data in one system only

this error still been captured in attendance reader Therefore here are the steps which I create in order to solve this

problem Below pictures show the steps how to avoid this problem from reappear again

The solid solution that I found are we need to always update their lsquoend timersquo for every former employee

after they resign or left Next they also need to update lsquoend timersquo for former employee in FingerTec system

Therefore below are the flow of the system that help me to rectify this problem

32 PROPOSED SOLUTION MINI PROJECT 2

Error on canteen readers are due to POS system still detect former employee data in Autotime system After solution

for mini project 1 has been discovered mostly the solution for this mini project 2 are quite same as solution for mini

project 1 However it required additional step to edit in POS system POS system using decimal value as their unique

value for each access card while Autotime system use hexadecimal as their unique value Autotime and POS system

are synchronize to each other as POS system will fetch all employee data from Autotime system This type of error

occur on canteen readers as POS system fetch unique value from Autotime wrongly Sometime it fetch an hexadecimal

value from Autotime system instead of decimal value The conversion method from hexadecimal to decimal value has

been implemented in POS system as it need to captured unique value in decimal number However sometime the

conversion from hexadecimal to decimal in POS system was not completely accurate In addition sometimes POS

system just captured hexadecimal value and do not undergo conversion process Therefore an error occurs when

employee scan their card in canteen reader as the readers canrsquot detect their data due to POS system captured unique

value in hexadecimal form

My suggestion for this type of error are management need to convert manually hexadecimal to decimal value

in POS system for every new employee This problem has been highlighted to vendors and an enhancement POS

system is still in discussion

33 PROPOSED SOLUTION BIG PROJECTS

Reducing time during registration are the main point for this type of entry pass system enhancement During the

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

40 LESSON LEARNED AND CONCLUSION

Industrial training is very important to students as complement for students after graduation During the course of the

industrial training period in Asiaflex Products Sdn Bhd various of knowledge and experience that I gained and learn

However not all work are perfect and there is a gap that can be improved to make the work more effective in future

At the same time accepting others comments or opinions is an attitude that will encourages and allows

student to improve their method in solving problem and also to ensure quality of work are always been prioritized A

good ideas or smart ideas always have a positive impact toward organization development Seeking own weaknesses

or enhance their existing advantage are the keys to improved organization performance in future

A lot of skill are gained during this industrial training Communication are the key factor in work environment

which I have been improved a lot during this internship Be able in handling company core system are the most

unforgettable memory since a lot of skill are required to handle each system Do not afraid to ask question regarding

company system and ask for guidance for the things that are not clear

22 MINI PROJECT 2

Mini project 2 are given regarding error scanner in canteen readers The new employee are the most affected toward

this problem as they use the existing access card from former employee Honestly this problem are linked to the

previous problem which as mini project 1 as all system are synchronize to each other This mini project required

additional understanding to new system which known as POS system (Point of service) POS system main function

are to stored some of employee information such as Card ID and also Employee ID and value of meal allowance that

allocate by the company for each employee This error causes employee unable to scan their access card in canteen

reader as the system will detect their access card as lsquounknownrsquo or lsquounregisteredrsquo employee This error can been

received by existing employee that changed their access card to new one due to missing or their access card are broken

Possibility source of error come from two main system that control each access card which Autotime system

and also POS system POS system are specifically for meal allowance and prices for each item that been sell by

canteen These two system actually are synchronize to each other and may need details studies about all aspect in this

system to find the source of error toward this projects POS system are manage by Information Technology

department Therefore I only been trained on a few function that exist in the system in order for me to understand and

suggest where the source of problem came

23 BIG PROJECT

This project known as Entry Pass Fire Drill report amp VMS enhancement The biggest project that held by company

in 2017 which required a lot of party involvement in this project A project leader who is the senior software engineer

from Information Technology department will be collaborate with senior human resource executive myself and also

vendor to ensure this project will be successful according to the plan This enhancement required a month of studies

toward the system in order to gain information which aspects should be upgrade The agenda for this enhancement

can be divided into two which is

1) Visitor amp contract staff attendance to be included in Fire Drill report

2) Visitor Management System (VMS) enhancement for register information of Visitor Pass (PVP)

scan their attendance on post guard barrier

As every project required solid solution in order to encountered problem that exist try and error method has been used

to ensure that the problem was solved completely

31 PROPOSED SOLUTION MINI PROJECT 1

Error regarding attendance scanner occur due to system detect the former employee unique value This is happen when

the former employee resign or their contract end the management forget to disable their account or unique value in

the Autotime system Even after disabling their unique value in Autotime system the error still exist due to unique

value for former employee this exist or available in other system such as FingerTec These two system are synchronize

to each other which mean if some changes needs to be made regarding employee data it need to be done for both

system I been tested this error for almost three weeks and found that if I change or disable data in one system only

this error still been captured in attendance reader Therefore here are the steps which I create in order to solve this

problem Below pictures show the steps how to avoid this problem from reappear again

The solid solution that I found are we need to always update their lsquoend timersquo for every former employee

after they resign or left Next they also need to update lsquoend timersquo for former employee in FingerTec system

Error on canteen readers are due to POS system still detect former employee data in Autotime system After solution

for mini project 1 has been discovered mostly the solution for this mini project 2 are quite same as solution for mini

project 1 However it required additional step to edit in POS system POS system using decimal value as their unique

value for each access card while Autotime system use hexadecimal as their unique value Autotime and POS system

are synchronize to each other as POS system will fetch all employee data from Autotime system This type of error

occur on canteen readers as POS system fetch unique value from Autotime wrongly Sometime it fetch an hexadecimal

value from Autotime system instead of decimal value The conversion method from hexadecimal to decimal value has

been implemented in POS system as it need to captured unique value in decimal number However sometime the

conversion from hexadecimal to decimal in POS system was not completely accurate In addition sometimes POS

system just captured hexadecimal value and do not undergo conversion process Therefore an error occurs when

employee scan their card in canteen reader as the readers canrsquot detect their data due to POS system captured unique

value in hexadecimal form

My suggestion for this type of error are management need to convert manually hexadecimal to decimal value

in POS system for every new employee This problem has been highlighted to vendors and an enhancement POS

system is still in discussion

Reducing time during registration are the main point for this type of entry pass system enhancement During the

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

Industrial training is very important to students as complement for students after graduation During the course of the

industrial training period in Asiaflex Products Sdn Bhd various of knowledge and experience that I gained and learn

However not all work are perfect and there is a gap that can be improved to make the work more effective in future

At the same time accepting others comments or opinions is an attitude that will encourages and allows

student to improve their method in solving problem and also to ensure quality of work are always been prioritized A

good ideas or smart ideas always have a positive impact toward organization development Seeking own weaknesses

I have done doing my industrial training at Asiaflex Products Sdn Bhd that began from 1 July 2017 Until 29 December

2017 During undergo intership I have been trained to understand how each system work and how to configure or

manage the system every day I have learned how to input data for new employee into the Autotime system which act

as database system for the company At the same time I also been introduced with many more system such as Entry

Pass system FingerTech system and also IBSS system All of these systems are need to be fully understand in order

for me to find an error that exist in the system and also do enhancement for existing system

c MINI PROJECT

Firstly there are many projects were given during industrial training in Asiaflex Producuts company depend

on which department that been attached Being attached in the Human Resource and Communication department make

me vulnerable to the attendance e-leave access card and also database system To be more specific I was part of the

HRIS (Human Resource Integrated System) group and responsible to every employee aspect such as leave door

access attendance and also details information Most of the projects are to solve the problem based on error occurred

or do enhancement for existing system First mini projects given are regarding error in scanner attendance Data that

been displayed in scanner are not accurate when new employee scan their access card These error occur due to system

held data that not updated This project involving two department which is Human Resource and Communication and

Information Technology department Each department will contribute one person to working together to solve the

problem This type of error involving two types of system which is FingerTec and Autotime system

Besides the second mini project given are regarding error in Canteen scanner which new employee cannot

scan their meal allowance that provided by the company Meal allowance are provided by the company for each

employee that allowing them to eat and drink in the canteen using their access card and no cash are needed to undergo

transactions in canteen This error makes employee need to long queue in order to buy some food and drink due to

canteen worker need to keep track their transactions manually This type of error involving two type of system which

is POS system (Point of sale) and also Autotime system

In Addition the last project given are about enhancement of Entry Pass system This enhancement are needed

to be done due to the existing system are quite complex and take a longer time to be process or execute This project

First and second project needed my own understanding regarding how each system work and synchronization between

two system that cause an error in scanner for canteen scanner and attendance scanner My responsibility for this two

projects are to find an anomaly data that held on each system that cause error in scanner while my responsibility for

last assignment are to make sure data that being enter in Autotime system are accurate can be captured in Entry Pass

system At the same time I need to test the system after the synchronization are successful between this two systems

and list the problems that exist

20 PROJECT DETAILS

21 MINI PROJECT 1

At first mini project regarding error in attendance scanner was the first project that were given and needed to be

solved as soon as possible This type of error occurred because of new employee forced to use old or previous worker

access card due to no stock for new access card are not available yet Therefore previous data inside the access card

for previous employee are still in the access card The first solution suggested by Information Technology Department

are to disable all data from previous employee that use the access card in order to put new data for new employee in

the access card However this type of solution are not successful erase all information from previous worker in the

access as the system still detect data from previous employee such as their name and their employee ID in attendance

reader Possibility this type of error occurred because data in Autotime system and FingerTec system are not fully

updated or not been fully disable for former employee

This mini project need can be considered as one of the most important project to the company as it affected

all new employee that use former employee access card Information Technology department with Human resource

and Communication collaborate to find a solid solution to this problem This collaboration are needed in order to

reduce time of finding the source of error and can easily exchange ideas to generate an ideal solution

a AUTOTIME IFLEXI AUTOTIME SYSTEM

Autotime system act as database system for the company as it held all information about the employee such

as full name address phone no employee ID date of birth status and etc The real name for Autotime system known

as iFlexi Autotime system or iFlexi Human Resource System are built on MicrosoftNet technology and with powerful

Microsoft SQL server which are the latest technology that are powerful and configurable time management software

for daily business iFlexi Autotime system consist many feature that can reduce time spent in calculating employee

work hour and the most important thing are it consists comprehensive professional management report such as

clocking time listing daily attendance (sorted by department) In this case Autotime system will provide data such as

employee ID that will captured by attendance reader in order to keep track employee attendance every day

b FINGERTEC TCMS SYSTEM

The FingerTec TCMS system are the powerful management tool designed exclusively for FingerTecrsquos

fingerprint facial and card system terminals However Asiaflex Products Sdn Bhd only use the card system

terminals only At the same time FingerTech TCMS are centralizes store and manages all the time

attendance information extracted from connected FingerTech Terminals to create an easily-management

which simplifying human resources task and most important thing are reducing labor cost of an organization

Additional features that involved in this system are it will allow users to automate time attendance tracking

and able to handling large employee bases as it able to connect maximum of 200 FingerTec terminal over an

First and second project needed my own understanding regarding how each system work and synchronization between

two system that cause an error in scanner for canteen scanner and attendance scanner My responsibility for this two

projects are to find an anomaly data that held on each system that cause error in scanner while my responsibility for

last assignment are to make sure data that being enter in Autotime system are accurate can be captured in Entry Pass

system At the same time I need to test the system after the synchronization are successful between this two systems

and list the problems that exist

20 PROJECT DETAILS

21 MINI PROJECT 1

At first mini project regarding error in attendance scanner was the first project that were given and needed to be

solved as soon as possible This type of error occurred because of new employee forced to use old or previous worker

access card due to no stock for new access card are not available yet Therefore previous data inside the access card

for previous employee are still in the access card The first solution suggested by Information Technology Department

are to disable all data from previous employee that use the access card in order to put new data for new employee in

the access card However this type of solution are not successful erase all information from previous worker in the

access as the system still detect data from previous employee such as their name and their employee ID in attendance

reader Possibility this type of error occurred because data in Autotime system and FingerTec system are not fully

updated or not been fully disable for former employee

This mini project need can be considered as one of the most important project to the company as it affected

all new employee that use former employee access card Information Technology department with Human resource

and Communication collaborate to find a solid solution to this problem This collaboration are needed in order to

reduce time of finding the source of error and can easily exchange ideas to generate an ideal solution

a AUTOTIME IFLEXI AUTOTIME SYSTEM

Autotime system act as database system for the company as it held all information about the employee such

as full name address phone no employee ID date of birth status and etc The real name for Autotime system known

as iFlexi Autotime system or iFlexi Human Resource System are built on MicrosoftNet technology and with powerful

Microsoft SQL server which are the latest technology that are powerful and configurable time management software

for daily business iFlexi Autotime system consist many feature that can reduce time spent in calculating employee

work hour and the most important thing are it consists comprehensive professional management report such as

clocking time listing daily attendance (sorted by department) In this case Autotime system will provide data such as

employee ID that will captured by attendance reader in order to keep track employee attendance every day

b FINGERTEC TCMS SYSTEM

The FingerTec TCMS system are the powerful management tool designed exclusively for FingerTecrsquos

fingerprint facial and card system terminals However Asiaflex Products Sdn Bhd only use the card system

terminals only At the same time FingerTech TCMS are centralizes store and manages all the time

attendance information extracted from connected FingerTech Terminals to create an easily-management

which simplifying human resources task and most important thing are reducing labor cost of an organization

Additional features that involved in this system are it will allow users to automate time attendance tracking

and able to handling large employee bases as it able to connect maximum of 200 FingerTec terminal over an

IP networks Picture 20 show the overview of this system and how it work generally

22 MINI PROJECT 2

Mini project 2 are given regarding error scanner in canteen readers The new employee are the most affected toward

this problem as they use the existing access card from former employee Honestly this problem are linked to the

previous problem which as mini project 1 as all system are synchronize to each other This mini project required

additional understanding to new system which known as POS system (Point of service) POS system main function

are to stored some of employee information such as Card ID and also Employee ID and value of meal allowance that

allocate by the company for each employee This error causes employee unable to scan their access card in canteen

reader as the system will detect their access card as lsquounknownrsquo or lsquounregisteredrsquo employee This error can been

received by existing employee that changed their access card to new one due to missing or their access card are broken

Possibility source of error come from two main system that control each access card which Autotime system

and also POS system POS system are specifically for meal allowance and prices for each item that been sell by

canteen These two system actually are synchronize to each other and may need details studies about all aspect in this

system to find the source of error toward this projects POS system are manage by Information Technology

department Therefore I only been trained on a few function that exist in the system in order for me to understand and

suggest where the source of problem came

23 BIG PROJECT

This project known as Entry Pass Fire Drill report amp VMS enhancement The biggest project that held by company

in 2017 which required a lot of party involvement in this project A project leader who is the senior software engineer

from Information Technology department will be collaborate with senior human resource executive myself and also

vendor to ensure this project will be successful according to the plan This enhancement required a month of studies

toward the system in order to gain information which aspects should be upgrade The agenda for this enhancement

can be divided into two which is

1) Visitor amp contract staff attendance to be included in Fire Drill report

2) Visitor Management System (VMS) enhancement for register information of Visitor Pass (PVP)

As every project required solid solution in order to encountered problem that exist try and error method has been used

to ensure that the problem was solved completely

31 PROPOSED SOLUTION MINI PROJECT 1

Error regarding attendance scanner occur due to system detect the former employee unique value This is happen when

the former employee resign or their contract end the management forget to disable their account or unique value in

the Autotime system Even after disabling their unique value in Autotime system the error still exist due to unique

value for former employee this exist or available in other system such as FingerTec These two system are synchronize

to each other which mean if some changes needs to be made regarding employee data it need to be done for both

system I been tested this error for almost three weeks and found that if I change or disable data in one system only

this error still been captured in attendance reader Therefore here are the steps which I create in order to solve this

problem Below pictures show the steps how to avoid this problem from reappear again

The solid solution that I found are we need to always update their lsquoend timersquo for every former employee

after they resign or left Next they also need to update lsquoend timersquo for former employee in FingerTec system

Therefore below are the flow of the system that help me to rectify this problem

project 1 However it required additional step to edit in POS system POS system using decimal value as their unique

value for each access card while Autotime system use hexadecimal as their unique value Autotime and POS system

are synchronize to each other as POS system will fetch all employee data from Autotime system This type of error

occur on canteen readers as POS system fetch unique value from Autotime wrongly Sometime it fetch an hexadecimal

value from Autotime system instead of decimal value The conversion method from hexadecimal to decimal value has

been implemented in POS system as it need to captured unique value in decimal number However sometime the

conversion from hexadecimal to decimal in POS system was not completely accurate In addition sometimes POS

system just captured hexadecimal value and do not undergo conversion process Therefore an error occurs when

employee scan their card in canteen reader as the readers canrsquot detect their data due to POS system captured unique

value in hexadecimal form

My suggestion for this type of error are management need to convert manually hexadecimal to decimal value

in POS system for every new employee This problem has been highlighted to vendors and an enhancement POS

system is still in discussion

33 PROPOSED SOLUTION BIG PROJECTS

Reducing time during registration are the main point for this type of entry pass system enhancement During the

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

33 PROPOSED SOLUTION BIG PROJECTS

Reducing time during registration are the main point for this type of entry pass system enhancement During the

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

to company building Below picture show the use of entry pass system after enhancement

40 LESSON LEARNED AND CONCLUSION

Industrial training is very important to students as complement for students after graduation During the course of the

industrial training period in Asiaflex Products Sdn Bhd various of knowledge and experience that I gained and learn

However not all work are perfect and there is a gap that can be improved to make the work more effective in future

At the same time accepting others comments or opinions is an attitude that will encourages and allows

student to improve their method in solving problem and also to ensure quality of work are always been prioritized A

good ideas or smart ideas always have a positive impact toward organization development Seeking own weaknesses

or enhance their existing advantage are the keys to improved organization performance in future

A lot of skill are gained during this industrial training Communication are the key factor in work environment

which I have been improved a lot during this internship Be able in handling company core system are the most

unforgettable memory since a lot of skill are required to handle each system Do not afraid to ask question regarding

company system and ask for guidance for the things that are not clear

22 MINI PROJECT 2

Mini project 2 are given regarding error scanner in canteen readers The new employee are the most affected toward

this problem as they use the existing access card from former employee Honestly this problem are linked to the

previous problem which as mini project 1 as all system are synchronize to each other This mini project required

additional understanding to new system which known as POS system (Point of service) POS system main function

are to stored some of employee information such as Card ID and also Employee ID and value of meal allowance that

allocate by the company for each employee This error causes employee unable to scan their access card in canteen

reader as the system will detect their access card as lsquounknownrsquo or lsquounregisteredrsquo employee This error can been

received by existing employee that changed their access card to new one due to missing or their access card are broken

Possibility source of error come from two main system that control each access card which Autotime system

and also POS system POS system are specifically for meal allowance and prices for each item that been sell by

canteen These two system actually are synchronize to each other and may need details studies about all aspect in this

system to find the source of error toward this projects POS system are manage by Information Technology

department Therefore I only been trained on a few function that exist in the system in order for me to understand and

suggest where the source of problem came

23 BIG PROJECT

This project known as Entry Pass Fire Drill report amp VMS enhancement The biggest project that held by company

in 2017 which required a lot of party involvement in this project A project leader who is the senior software engineer

from Information Technology department will be collaborate with senior human resource executive myself and also

vendor to ensure this project will be successful according to the plan This enhancement required a month of studies

toward the system in order to gain information which aspects should be upgrade The agenda for this enhancement

can be divided into two which is

1) Visitor amp contract staff attendance to be included in Fire Drill report

2) Visitor Management System (VMS) enhancement for register information of Visitor Pass (PVP)

My scope for this project only focusing on Entry Pass system Entry Pass system are responsible to manage

all controller access For example it will control turnstile barrier manager barrier and post guard barrier

Turnstile barrier also act as backup attendance for each employee when attendance readers for each

department not working It held records for each employee such as time in and also time out All employee need to

pass the turnstile barrier first before they need to scan at attendance readers Manager barrier will held record in and

out for all managers as their backup attendance if attendance readers not working All contractor or visitor need to

scan their attendance on post guard barrier

Main ideas for this type of enhancement are to avoid entering the same information for contractor or visitor

during in entry pass system This enhancement can reduce time during registration of each contractor or visitor in

security This features are the most important that needed to be implement in enhancement of entry pass system Below

30 PROPOSED SOLUTION

As every project required solid solution in order to encountered problem that exist try and error method has been used

to ensure that the problem was solved completely

31 PROPOSED SOLUTION MINI PROJECT 1

Error regarding attendance scanner occur due to system detect the former employee unique value This is happen when

the former employee resign or their contract end the management forget to disable their account or unique value in

the Autotime system Even after disabling their unique value in Autotime system the error still exist due to unique

value for former employee this exist or available in other system such as FingerTec These two system are synchronize

to each other which mean if some changes needs to be made regarding employee data it need to be done for both

system I been tested this error for almost three weeks and found that if I change or disable data in one system only

this error still been captured in attendance reader Therefore here are the steps which I create in order to solve this

problem Below pictures show the steps how to avoid this problem from reappear again

The solid solution that I found are we need to always update their lsquoend timersquo for every former employee

after they resign or left Next they also need to update lsquoend timersquo for former employee in FingerTec system

Therefore below are the flow of the system that help me to rectify this problem

for mini project 1 has been discovered mostly the solution for this mini project 2 are quite same as solution for mini

project 1 However it required additional step to edit in POS system POS system using decimal value as their unique

value for each access card while Autotime system use hexadecimal as their unique value Autotime and POS system

are synchronize to each other as POS system will fetch all employee data from Autotime system This type of error

occur on canteen readers as POS system fetch unique value from Autotime wrongly Sometime it fetch an hexadecimal

value from Autotime system instead of decimal value The conversion method from hexadecimal to decimal value has

been implemented in POS system as it need to captured unique value in decimal number However sometime the

conversion from hexadecimal to decimal in POS system was not completely accurate In addition sometimes POS

system just captured hexadecimal value and do not undergo conversion process Therefore an error occurs when

employee scan their card in canteen reader as the readers canrsquot detect their data due to POS system captured unique

value in hexadecimal form

My suggestion for this type of error are management need to convert manually hexadecimal to decimal value

in POS system for every new employee This problem has been highlighted to vendors and an enhancement POS

system is still in discussion

Turnstile barrier also act as backup attendance for each employee when attendance readers for each

department not working It held records for each employee such as time in and also time out All employee need to

pass the turnstile barrier first before they need to scan at attendance readers Manager barrier will held record in and

out for all managers as their backup attendance if attendance readers not working All contractor or visitor need to

scan their attendance on post guard barrier

Main ideas for this type of enhancement are to avoid entering the same information for contractor or visitor

during in entry pass system This enhancement can reduce time during registration of each contractor or visitor in

security This features are the most important that needed to be implement in enhancement of entry pass system Below

30 PROPOSED SOLUTION

As every project required solid solution in order to encountered problem that exist try and error method has been used

to ensure that the problem was solved completely

31 PROPOSED SOLUTION MINI PROJECT 1

Error regarding attendance scanner occur due to system detect the former employee unique value This is happen when

the former employee resign or their contract end the management forget to disable their account or unique value in

the Autotime system Even after disabling their unique value in Autotime system the error still exist due to unique

value for former employee this exist or available in other system such as FingerTec These two system are synchronize

to each other which mean if some changes needs to be made regarding employee data it need to be done for both

system I been tested this error for almost three weeks and found that if I change or disable data in one system only

this error still been captured in attendance reader Therefore here are the steps which I create in order to solve this

problem Below pictures show the steps how to avoid this problem from reappear again

The solid solution that I found are we need to always update their lsquoend timersquo for every former employee

after they resign or left Next they also need to update lsquoend timersquo for former employee in FingerTec system

Therefore below are the flow of the system that help me to rectify this problem

for mini project 1 has been discovered mostly the solution for this mini project 2 are quite same as solution for mini

project 1 However it required additional step to edit in POS system POS system using decimal value as their unique

value for each access card while Autotime system use hexadecimal as their unique value Autotime and POS system

are synchronize to each other as POS system will fetch all employee data from Autotime system This type of error

occur on canteen readers as POS system fetch unique value from Autotime wrongly Sometime it fetch an hexadecimal

value from Autotime system instead of decimal value The conversion method from hexadecimal to decimal value has

been implemented in POS system as it need to captured unique value in decimal number However sometime the

conversion from hexadecimal to decimal in POS system was not completely accurate In addition sometimes POS

system just captured hexadecimal value and do not undergo conversion process Therefore an error occurs when

employee scan their card in canteen reader as the readers canrsquot detect their data due to POS system captured unique

value in hexadecimal form

My suggestion for this type of error are management need to convert manually hexadecimal to decimal value

in POS system for every new employee This problem has been highlighted to vendors and an enhancement POS

system is still in discussion

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

However not all work are perfect and there is a gap that can be improved to make the work more effective in future

At the same time accepting others comments or opinions is an attitude that will encourages and allows

student to improve their method in solving problem and also to ensure quality of work are always been prioritized A

good ideas or smart ideas always have a positive impact toward organization development Seeking own weaknesses

or enhance their existing advantage are the keys to improved organization performance in future

A lot of skill are gained during this industrial training Communication are the key factor in work environment

32 PROPOSED SOLUTION MINI PROJECT 2

Error on canteen readers are due to POS system still detect former employee data in Autotime system After solution

for mini project 1 has been discovered mostly the solution for this mini project 2 are quite same as solution for mini

project 1 However it required additional step to edit in POS system POS system using decimal value as their unique

value for each access card while Autotime system use hexadecimal as their unique value Autotime and POS system

are synchronize to each other as POS system will fetch all employee data from Autotime system This type of error

occur on canteen readers as POS system fetch unique value from Autotime wrongly Sometime it fetch an hexadecimal

value from Autotime system instead of decimal value The conversion method from hexadecimal to decimal value has

been implemented in POS system as it need to captured unique value in decimal number However sometime the

conversion from hexadecimal to decimal in POS system was not completely accurate In addition sometimes POS

system just captured hexadecimal value and do not undergo conversion process Therefore an error occurs when

employee scan their card in canteen reader as the readers canrsquot detect their data due to POS system captured unique

value in hexadecimal form

My suggestion for this type of error are management need to convert manually hexadecimal to decimal value

in POS system for every new employee This problem has been highlighted to vendors and an enhancement POS

system is still in discussion

Reducing time during registration are the main point for this type of entry pass system enhancement During the

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

to company building Below picture show the use of entry pass system after enhancement

Industrial training is very important to students as complement for students after graduation During the course of the

industrial training period in Asiaflex Products Sdn Bhd various of knowledge and experience that I gained and learn

However not all work are perfect and there is a gap that can be improved to make the work more effective in future

At the same time accepting others comments or opinions is an attitude that will encourages and allows

student to improve their method in solving problem and also to ensure quality of work are always been prioritized A

good ideas or smart ideas always have a positive impact toward organization development Seeking own weaknesses

or enhance their existing advantage are the keys to improved organization performance in future

A lot of skill are gained during this industrial training Communication are the key factor in work environment

which I have been improved a lot during this internship Be able in handling company core system are the most

unforgettable memory since a lot of skill are required to handle each system Do not afraid to ask question regarding

company system and ask for guidance for the things that are not clear

33 PROPOSED SOLUTION BIG PROJECTS

Reducing time during registration are the main point for this type of entry pass system enhancement During the

meetings with Information Technology Security Human Resource department and vendors there are many problem

that we discuss regarding the fire drill reports entry pass and etc My scope only for entry pass which I will be the

person who test of this enhancement and monitor any error occur after enhancement Visitor and contractor data are

not permanently stored and will be deleted as their contract end and need to register again if their contract were renew

Therefore in order to solve this type of problem flexi VMS was created Flexi VMS are the database that stored all

information regarding the contractor and also visitor pass During this meeting we all together agree that flexi VMS

will be linked with Autotime system so that when management generate fire drill report all visitor and contractor are

included in the report and their data available in entry pass system

Autotime system are synchronize with entry pass system Therefore all data in entry pass system are included

data from Flexi VMS which can be edited their date of work depend on their contract and easily control their access

to company building Below picture show the use of entry pass system after enhancement

Industrial training is very important to students as complement for students after graduation During the course of the

industrial training period in Asiaflex Products Sdn Bhd various of knowledge and experience that I gained and learn

However not all work are perfect and there is a gap that can be improved to make the work more effective in future

At the same time accepting others comments or opinions is an attitude that will encourages and allows

student to improve their method in solving problem and also to ensure quality of work are always been prioritized A

good ideas or smart ideas always have a positive impact toward organization development Seeking own weaknesses

or enhance their existing advantage are the keys to improved organization performance in future

A lot of skill are gained during this industrial training Communication are the key factor in work environment

which I have been improved a lot during this internship Be able in handling company core system are the most

unforgettable memory since a lot of skill are required to handle each system Do not afraid to ask question regarding
